Guide 7: Prepare for handoff and ongoing support
Make the business capable of operating, reviewing, changing, and stopping the delivered work.
Inventory what the business receives
List business-owned accounts, source files, configurations, prompts, automation definitions, test cases, documentation, vendor relationships, recurring fees, and open risks. Identify the current version and the accountable owner for each item.
Keep credentials in approved business-controlled storage. The handoff should explain access without exposing secrets in a general document or email thread.
Teach the operating rule
Training should cover when to use the workflow, what information is allowed, how to review the result, when to escalate, and how to report a problem. A feature tour alone does not prepare people to own the work.
Name the person responsible for onboarding new users and updating the rule when the work or tool changes. Otherwise the implementation can drift away from the decision the business accepted.
Define support before the final invoice
Clarify defect correction, product changes, monitoring, response expectations, change requests, and work that requires a new agreement. Confirm how the business exports appropriate materials and removes external access when support ends.
A professional handoff reduces dependence without pretending the system will never need maintenance. The goal is visible ownership, not zero future work.
